Western Trauma Association 40th Annual Meeting
Exhibitor Information
Attendees:
The meeting attracts about 200
trauma surgeons and related
specialty physicians whose primary
interest lies in the treatment of
the injured patient.
Exhibit Space:
Exhibits will be in the Pre-Function
Area of the Conference Center in
Telluride (just outside the WTA
meeting room) in order to assure
maximum exhibitor exposure to the
attendees. Exhibitors will be
provided with a maximum of two 3’x6’
draped table(s) and two chairs.
Moderators will encourage attendees
to visit each exhibitor.
Hours:
Exhibit hours will be from 6:30 a.m.
– 9:30 a.m. and 3:30 p.m. – 6:30
p.m. Monday through Friday, March 1
- 5. Exhibits should be set-up on
Sunday evening, February 28 or from
6:00 – 6:30 a.m. on Monday, March
1. Tear down will be Friday, March
5 from 6:30 – 7:30 p.m. Please
note, the exhibits will be located
in a public space and security will
not provided.
Costs:
The charge for booth rental is
$4,000.00. Fees are due in full
upon submission of the
Exhibit Application Form.
Attendance at the meeting and events
requires meeting registration (see
Item
#10
below.)
Rules, Regulations, and Fees:
1.
All applications must be made on the
official application form and
include a fifty (50) word
description of the products or
services to be exhibited.
2.
All products to be exhibited must be
directly related to the practice of
surgery or medicine, education, and
related topics. All are subject to
approval by the WTA.
3.
Exhibitors must comply with FDA
regulations concerning the
exhibition of investigational
products and Class III devices.
4.
Exhibitor identification on all
signs, graphics and literature must
be the company name(s) submitted on
the Exhibitor Application.
5.
Exhibits will take the form of a
maximum of two 3’ x 6’ table tops.
Please indicate the number you need
on the registration form. Security
will not be provided and exhibits
are located in a public space.
6.
Exhibitors may not assign or
apportion to others the whole or any
part of the space allocated, and may
not display goods or services other
than those manufactured or regularly
distributed by the applicant(s).
7.
Exhibitors must set-up, occupy and
staff their exhibits during all
hours the exhibitors are open unless
oral scientific presentations are
ongoing.
8.
Exhibitors are expected to remain in
their rented space and not view
other exhibits except by invitation
of other exhibitors.
9.
Interviews, demonstrations and the
distribution of literature must be
made in the company’s assigned
exhibit area. Canvassing or
distribution of advertising
materials beyond the perimeters of
the assigned exhibit space will not
be allowed.
10.
Exhibitor Registration.
All exhibitor personnel are required
to wear registration badges while on
the exhibit floor. Badges are
obtained by registering for the
meeting online. One
registration fee will be waived for
each company exhibit. Additional
representatives who are
simultaneously exhibiting for the
company will need to register as
Guests (at rates of $550.00 for
early registration, $650.00 for late
registration, and $750.00 for
on-site registration). This single
waived registration can be
transferred to another company
representative should there be a
transfer of representative
responsibilities (i.e., one
representative would be present for
Sunday through Tuesday and another
would arrive on Wednesday to replace
the first representative for the
duration of the meeting.)
Exhibitor badges will be distributed
at the registration desk during the
meeting.
